Anhui Technology Import & Export Co., Ltd. (AHTECH) is the only authorized global carriers of ROBOCUP 2015. The committee also appointed us as the official import and export agent. To ensure that the robots will be transported to the Venue safely and timely, please read the guidance carefully.

III. Available means of transportation
i. By Air - Recommendatory
Through our Air-agency: Send your Robots directly to the venues.
Robots could be sent through our air-agency to Hefei. We will offer the door to door pickup service and the service of customs clearance, customs inspection, warehousing and storage, domestic delivery as same.
Domestic Charge: Including the charges from door- door pickup to the airport. A reasonable charge will cost base on your address.
International Charge: Including the charges from the airport to the venue in China. Charging standard as attachment B.

ii. Through International Express --- Not Recommendatory
As the charges of Express Commodity Inspection is much higher than by Air, and could not use ATA CARNET for customs clearance, there will to be a very very high tariffs cost, for IMP&EXP both.

iii. Sea transport
All the cargo could be sent to the venue by sea also. But we need you prepare the packed Robots and documents earlier. We will help you to make the customs clearance, backhaul and service under Clause III-i are also our service. Welcome to contact us for details!

V. Documents for customs clearance
i. Documents needed for customs clearance in China ：
ATA Carnet(Attachment A), packing list& commercial invoice(Attachment D）.
a. Please send all the documents above to AHTECH before the arrival of the cargo at the destination port. Please find our address as clause II.
b. To simplify the customs clearance, please prepare ATA CARNET as below:

c. If your country is not joining the Customs Convention of ATA Carnet, there will to be tariffs charge on imports. Please make payment of tariffs and VAT to our account first, and will return these charges to your account after the cargo return to your country. (Members of ATA was list on attachment A.)
ii. Documents needed in customs clearance at the port of loading Our agency will help you to prepare documents for Custom clearance if you choose our agency on Clause III.
iii. Routing
AHTECH will take charge of the Robots after unloading, for the customs clearance & transport in China. For this routing, Participants need to fill documents as follow:

VI. Fees
Freight charges and 30% of the declared value as the of the Import tariffs need to be prepaid to our account (ATA CARNET HOLDER NO NEED TO PAY TARIFFS). We will evaluate the totally charges once on receipt of your documents of the packing list and Invoice (Attachment D)

VII. Shipping mark
i. At least 3 sides of the outer carton should be painted with clear, exact and firm shipping marks as per the format provided by AHTECH. Or else, AHTECH will not be responsible for the delay.
ii. To ensure the safety of the robots, wooden cases weighing over 500 KGS should be painted with international cargo shipping marks(including lifting point, center of gravity, etc.).
VIII. Package safety
i. For long-distance transport, the robots will be transferred, tallied, loaded and uploaded for several time, and stored outdoor sometimes. To ensure the safety of the robots, the package have to be firm and reusable.
ii. Please do not use haulm or newspaper to as the cushion. If the cargo is fragile, please mark on the outer package.
iii. If wooden package is needed, all the wooden packing material, including the wooden products should have been heat treated, and have the “IPPC” stamp.
iv. Logs with barks or wormholes can not be used as the package material.
v. AHTECH will not be responsible for the loss, in case that the cargo is damaged because of improper packaging or customs inspection.
IX. Insurance
i. AHTECH will cover basic risks for 110% of the declared value of the cargo.
ii. If extra Insurance needed, please inform us and take the cost by your side.
iii. During the transportation, AHTECH only ensures that the outer package to be intact, while the participants are responsible for the safety of interior packaging. AHTECH will be exempted from responsibility, in case that the cargo is broken while the outer package is intact.
X. Other points for attention
i. About the batteries. It is recommended that the participants carry the compact batteries with themselves, or ask the appointed agency in advance to order the batteries if necessary, since that batteries are listed as dangerous cargo by the customs of most countries including China, which results in the troublesome the custom clearance.
a. In case that the transportation and customs clearance of battery are necessary, and meanwhile, it is permitted in your country to transport battery as general goods, please put the battery in the robot when declaring to the carrier and the customs.
b. If you need to transport the battery into China or out of China as dangerous cargo, it is suggested that the battery and the robot be transported and declared to the customs separately to reduce the fees. In this case, please contact us and enquire about the freight and the customs declaring fees of the battery.
c. If your battery is low priced and easily worn article, it is not recommended to take it back because the backhaul freight would exceed the its value.
d. ATTENTION: All the goods list on ATA Carnet must to be return after the exhibition, and if you are sure whether the battery will be carried back, please do not list the battery separately on ATA Carnet, and instead, you can register the robot and the battery as a set of robot device.
ii. AHTECH will reserve the right to claim for compensation against the concerning participator in case that the container is detained or even confiscated by the customs for the reason that
a. The cargo is not conforming to the commercial invoice or the packing list;
b. In the package there are articles threatening personal safety or personal belongings irrelevant to the exhibition, such as inflammable, foodstuff, drinks, medicine and health food.
iii. The freight is charged on the basis of the outer diameter of the outer package，1CBM=167KGS.
XI. ROBOTS RETURN
i. Available means of Return By Air .Through International. ExpressSea transport (same as III ).
ii. ROBOTS RETURN
We will pick-up the return robots from the venue on the last day of the competition, please prepare document for return before, and make sure you will to be there.
a .Participator should provide correct packing list &Invoice (attachment D)with signature, We will arrange export declaration according to exactly same to the information provided.
The return cargo should to be exactly same to the documents. Or else the cargo might not pass the customs, for which the concerning participator has to undertake the responsibility.
b. Participator should provide the complete information of the consignee. Freight charges for return is as attachment F..
c. If Cargo need to be send back in advance, you could contact with our EXPRESS agent. (DHL /TNT).
PLEASE NOTE ALL GOODS LIST ON ATA CARNET IS NOT ALLOWED TO BE SEND BACK BY EXPRESS, OR ELSE THERE WILL TO BE PUNISHABLE BY HEAVY FINES.

XII. Force majeure clause
In case that the transportation can not be done due to such natural disasters as earthquake and typhoon, or such man-made disasters as strike, coup, war and oil crisis, AHTECH will be exempted from concerning responsibility, fees or risks.
